About the role:

Company Shop has an exciting opportunity for an Administrator to join our Head Office team to provide a professional front of house presence and administrative support. The role will serve as the primary point of contact for visitors to our Head Office and responsibilities will include administrative tasks, reception duties, answering and directing queries over the telephone and supporting the wider teams as required.

Key accountabilities include:

• To ensure the efficient and effective operation of the reception service

• To answer incoming calls to the company

• To provide a strong customer facing service to all visitors, including meeting and greeting visitors

• Responsible for the purchasing of all supplies, equipment, services, consumables for the company, and keeping accurate and up to date records of this

• To obtain bids and prices, ordering applicable materials and supplies, and maintaining procurement records

• To continually look for the improvements in the purchasing, controlling and distribution of all consumables

• To inspect materials and supplies upon receipt, reconciling received goods with contract specifications, including ensuring proper quality of order

• To administer inventory control of supplies and equipment

• To maintain and review stock records

• To provide admin support for key personnel

• Ensure that any visitors have signed in and understand the companies food safety and health and safety policy regarding visiting the site

• Working closely with departments, to help assist them with any issues that they may have, and where applicable provide advice

• To book accommodation/travel tickets/training rooms as and when required

• To update fob access for colleagues, in conjunction with the security procedure

• To check the room bookings daily and ensure that the rooms are set up appropriately

• To work closely with the HR Team, and to help assist where reasonably possible

About you:

This is an exciting and varied role which reports into the HR Manager. We are interested in speaking to candidates who have the following skills and experience:

• Previous Experience in an Administrative based role

• Excellent Communication skills – both written and verbal

• Excellent IT skills

• Ability to provide exceptional customer service to both internal and external customers

• Ability to liaise comfortably with stakeholders at all levels

• Being comfortable working both alone and as part of a team

• Attention to detail

• Experience of creating, running and maintaining reports

• Ability to multi task and prioritise key issues

• Ability to manage expectations

• Ability to identify and improve working practice
